Having the wording ready before you need it makes follow-up far easier to actually send — there's no blank-page moment where an awkward message gets postponed another day. Adjust the tone to fit your own relationship with the client; these are starting points, not scripts to copy exactly.

Before the due date

Subject: Invoice #[number] — quick check

Hi [name], just confirming invoice #[number] for [amount], due [date], made it through okay and everything looks right on your end. Let me know if you need anything else from me before then.

On the due date, unpaid

Subject: Invoice #[number] — due today

Hi [name], invoice #[number] for [amount] was due today. If it's already on its way, no need to reply — otherwise, let me know if anything's holding it up.

A week past due

Subject: Invoice #[number] — now a week overdue

Hi [name], invoice #[number] for [amount] was due on [date] and I haven't seen payment yet. Could you let me know the status, or if there's anything blocking it on your end?

Two to three weeks past due

Subject: Invoice #[number] — payment now [X] days overdue

Hi [name], invoice #[number] for [amount] is now [X] days past its due date of [date]. Please let me know by [specific date] when I can expect payment. [If applicable: "As noted on the invoice, a late fee of [X]% applies to overdue balances."]

Final notice before escalation

Subject: Invoice #[number] — final notice

Hi [name], I haven't received payment or a response for invoice #[number], now [X] days overdue. If I don't hear back by [specific date], I'll need to [pursue collections / involve a third party / whatever your actual next step is]. I'd rather resolve this directly — please reach out.

A few things that make any of these work better

  • Always include the invoice number, amount, and date — a reminder that makes the recipient dig for details gets deprioritized.
  • State a specific next date or action, not just "please pay soon" — see setting payment terms for why specificity matters throughout the invoicing process.
  • Keep the tone flat and factual, especially in early messages — assume a simple explanation until the pattern says otherwise.
  • Don't skip stages. Jumping straight from silence to a final notice reads as disproportionate; the graduated tone is what makes escalation feel earned rather than arbitrary.

These templates work better as a starting draft you adjust for the specific client and situation than as fixed text sent verbatim — the goal is to save you from starting from a blank page, not to remove judgment from the process.
