Sending your first invoice can feel bigger than it is. Strip away the anxiety and it's really just four steps: agree on the work, put the details in writing, send it, and follow up if it isn't paid.
1. Confirm the details before you invoice
Before you write anything down, make sure you and the client agree on the same basics: what was delivered, how much it costs, and when payment is due. Invoicing for something the client didn't expect — a scope that grew, a rate that changed — is the single most common cause of a disputed invoice. A quick email confirming scope and price before the work starts saves you this conversation later.
2. Gather what you need
You'll want:
- Your business name and contact details (and a tax/VAT ID if you're registered for one)
- The client's name and billing address
- A description of what you're billing for, itemized if there's more than one thing
- The amount for each item, plus any tax that applies
- Your payment terms — how many days the client has to pay, and how they can pay
3. Create and send the invoice
Use a consistent format every time — it looks more professional and makes your own bookkeeping easier. Send it as a PDF attachment rather than a photo or a plain-text summary — it reads as more legitimate and is easier for the client's own bookkeeping to file.
4. Know what happens next
Once it's sent, the invoice isn't finished — it's just started. Note the due date somewhere you'll actually see it, and decide in advance what you'll do if it's not paid on time: a polite reminder a few days before the due date, a firmer one a few days after. Having that plan ready before you need it makes the follow-up far less awkward when the moment comes.
The first invoice is the hardest one only because it's unfamiliar. After that, it's a five-minute task.
